Privacy Policy

1Introduction

MEAIOW LTD (“MEAIOW,” “we,” “us,” or “our”) designs, engineers, and deploys AI workforces for regulated enterprises through six accountable product layers: THEOREM (process intelligence and proof), AXIOM© (the resolution engine that acts on that proof), CONTINUUM (advisory and change management), RESOURCE (the deployed AI workforce), FIRST AI-D© (governance across every layer), and VERDICT (independent testing and assurance). We also operate AICADEMY, offering UK-accredited qualifications in agentic AI and AI workforce design, and a Client Portal through which customers manage their deployed workforce.

This Privacy Policy explains how we collect, use, disclose, and safeguard personal data in connection with: browsing our website (the “Site”); requesting a discovery call or product information; registering for or using the Client Portal; applying to, enrolling in, or completing an AICADEMY qualification; and applying for a role with us.

This Policy does not describe how personal data is processed inside a customer’s live AXIOM or RESOURCE deployment (for example, data about a customer’s own employees or end customers that an agent acts on). That processing is governed by the Master Service Agreement and Data Processing Agreement (“DPA”) between MEAIOW and the customer, under which the customer is the data controller and MEAIOW acts as a data processor. MEAIOW’s products are built to operate under governed execution frameworks, within defined authority boundaries, with every interaction logged and independently assured through our VERDICT testing and assurance discipline. In relation to the personal data covered by this Policy — that is, data about you as a website visitor, Discovery Call contact, Client Portal user, or AICADEMY applicant — we do not make decisions based solely on automated processing, including profiling, that produce legal effects concerning you or similarly significantly affect you, without meaningful human involvement.

Where a customer configures AXIOM, RESOURCE, or another agent to inform or make decisions about that customer’s own employees, applicants, or end customers, that processing is governed by the agreement between MEAIOW and the customer, and the customer, as data controller, is responsible for the applicable safeguards — see Section 6 of our GDPR & Compliance page.

4bProviding Your Information Is Voluntary

Giving us personal data is generally your choice. However, if you don’t provide certain details — for example, a business email on a Discovery Call form — we may not be able to respond to your request, provision your Client Portal account, or process your AICADEMY application.

We do not sell personal data. Depending on the context, we may share it with the categories of recipients below:

6International Data Transfers

We operate from offices in London and Dubai, and personal data may be transferred to, and processed in, countries other than the one in which it was collected, including the UK and EEA (our Dubai office is not yet operational for data processing). Where we transfer personal data out of the EEA or UK to a country not deemed to offer an adequate level of protection, we rely on appropriate safeguards, such as the European Commission’s Standard Contractual Clauses or the UK International Data Transfer Addendum.

7Data Retention

We keep personal data only for as long as necessary for the purposes described in this Policy, or as required by law or by an accrediting body’s record-keeping rules. Retention periods differ by data type — see retention periods are set per data category and, for AICADEMY academic and certification records, to at least the minimum period required by the accrediting body for the confirmed periods covering Discovery Call/marketing data, Client Portal account data, and AICADEMY academic and certification records.

8Security

We maintain technical and organizational measures designed to protect personal data, consistent with our internal Information Security Policy and with the governance principles built into our own products. These include access controls based on least privilege, encryption of data in transit and at rest, continuous monitoring and logging, regular vulnerability assessments, and a documented incident-response process. Our practices are informed by recognized frameworks including ISO/IEC 27001, the NIST Cybersecurity Framework, and SOC 2 principles. As with the AI workforces we build, we hold our own handling of personal data to a standard of being logged, reviewable, and accountable. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9Children’s Privacy

The Site and our products are directed at business audiences. We do not knowingly collect personal data from anyone under the age of 16 (or the higher minimum age that applies in your jurisdiction), including through AICADEMY, which we understand to enrol adult professionals only — confirm this in MEAIOW currently hosts and processes personal data in the UK and EEA; our Dubai office is being established and is not yet operational for data processing. This section will be updated with the relevant UAE/DIFC/ADGM transfer mechanism before any Dubai-based processing begins.. If you believe a child has provided us with personal data, please contact us so we can delete it.

10Your Privacy Rights

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal data; to object to or restrict certain processing; to withdraw consent at any time; and not to be subject to a decision based solely on automated processing that significantly affects you (see Section 4a). EEA and UK residents also have the right to lodge a complaint with a supervisory authority. Full detail on these rights and how to exercise them is set out in our GDPR & Compliance page. 11Cookies

The Site uses a small number of cookies to operate securely and to understand how it is used. We use a cookie banner so you can choose your preferences the first time you visit.

You can change your choice at any time via the “Cookie Preferences” link in the Site footer, or through your browser settings. See a cookie audit of the live Site is completed before launch to confirm this table for confirmation of the exact tools in use.

12Changes to This Policy

We may update this Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. Material changes will be reflected by an updated “Effective Date” above and, where required by law, we will provide additional notice.
